This policy explains how the Slate Discord bot handles information. Slate is operated by Pocotalgia (“we”, “us”). If you have a question or want to make a privacy request, email Pocotalgia@gmail.com or contact us in the Slate support server.
Depending on which Slate features a server enables, Slate may process:
/feedback, including its category, text, user ID, and server ID.Dashboard sign-in uses Discord OAuth. A short-lived Discord access token and refresh token are held in the bot's server memory to keep your dashboard session active; they are not stored in Slate's database. The browser receives an HttpOnly, Secure session cookie. Signing out removes that session, and a bot restart clears all dashboard sessions.
Slate does not keep a general archive of every server message. It processes message content only where needed for a feature, such as configured automod rules, event logging, or a ticket transcript. Slate does not use AI.
We use this information to provide the commands and features a server chooses to use, keep moderation and ticket records available to that server, deliver feedback, manage suggestions and reaction roles, secure and troubleshoot Slate, and respond to privacy or support requests. Server administrators decide which features and logging channels to enable and are responsible for controlling access to their server’s log channels and transcripts.
Where UK data-protection law applies, our intended basis for operating, securing, and supporting Slate is our legitimate interests in providing the service requested by server administrators. Server administrators decide why they use moderation records and logs in their server and are responsible for having an appropriate lawful basis for that use. We may also process or retain information where necessary to meet a legal obligation.
Some server-configured actions can be automatic: for example, automod can remove messages that match configured rules, and strike tracking can apply the final action selected by the server administrator. Those actions use explicit server settings and fixed rules; Slate does not make AI-based decisions or build user profiles.
Slate’s operational database and hosted ticket transcripts run on a virtual private server used to operate the bot. Discord also processes information when Slate uses Discord’s services and API. The infrastructure providers needed to host the bot and database may process data to provide that infrastructure. We do not sell personal information, use it for advertising, or share it with data brokers.
As of this policy’s effective date, Slate has no automatic expiry or server-removal cleanup for database records or hosted transcript files. They remain stored until manually deleted, including after Slate is removed from a server. You can request access to or deletion of information by contacting us. We will review the request and delete information where it is no longer needed and we are not required or reasonably justified to keep it. Copies already posted to Discord channels are also subject to Discord’s systems and the server’s administrators. We intend to introduce retention controls as the service grows.
Hosted transcript links are unlisted links with unguessable tokens, not account-protected pages. Anyone who obtains a link can read that transcript. Server administrators should treat transcript links as private and restrict access to ticket and transcript-log channels. Transcript files currently have no automatic expiry.
We use reasonable measures to protect information, but no online service can guarantee absolute security. Discord and the hosting provider process data under their own terms and privacy policies; their infrastructure may be in a different country from you.
You can ask us to provide, correct, or delete information associated with your Discord ID by emailing Pocotalgia@gmail.com. Include the server and feature involved where possible; do not send your Discord password or bot tokens. We may need to verify the request before acting. Server administrators with Manage Server can search indexed transcripts with /ticket-transcripts find and remove individual transcripts with /ticket-transcripts delete. This index covers transcripts created after the transcript index was introduced; older transcripts may require manual review. Some records may need to remain available to a server for moderation, security, or legal reasons. You can also contact your server’s administrators about copies in that server’s channels.
If UK data-protection law applies to you, you may complain to the Information Commissioner’s Office. Depending on your location, you may have additional rights under local law.
